Technology Project Brief: How to Tell Developers What You Want

The fastest way to waste money on software is to hand a developer a vague idea and hope.

A good technology project brief fixes that: it lets you explain, in plain English, exactly what you want built and why, so a developer or agency can scope it accurately and you get what you pictured.

Why a Brief Saves You Time and Money

Most founder-developer friction comes from a fuzzy starting point. Without a brief, you get guesses, scope creep, and a build that misses the point, then you pay to redo it.

Twenty minutes spent writing a clear brief up front prevents weeks of rework and gives every bidder the same information, so their quotes are actually comparable.

That friction usually comes from missing operational structure, which is exactly what a fractional executive brings.

What a Good Brief Includes

  • The problem: what you're trying to solve, and for whom. Lead with the why, not the how.
  • The users: who will use this, and what they need to accomplish.
  • Goals and success criteria: what "done and working" looks like in concrete terms.
  • Must-have features vs. nice-to-haves: separate the core from the wish list so the budget goes to what matters.
  • References and examples: links or screenshots of things that do it well ("like X, but for Y"). A picture saves a thousand misread sentences.
  • Constraints: platforms, integrations, security or compliance needs. Scoping the software stack and recurring tools is its own exercise; see our Software Subscriptions Audit Template.
  • Timeline and budget: even a rough range helps a developer right-size the proposal.

How to Use It

Fill in the template, share it with two or three developers or agencies, and compare their responses. The clarity of their questions back to you is itself a signal of who actually understood the brief.
